What we collect, and why

We film weddings. To do that we need to know who you are, when and where the day is, and how to reach you — and nothing much beyond that. This page says exactly what we hold, who else touches it, and how to get it removed. Last updated 25 August 2026.

Who we are

Saffron Media, a wedding film studio in Pickering, Ontario, Canada. For anything on this page, write to hello@saffron-media.com.

What we collect

When you send an inquiry — your names, email address, phone number if you give one, your wedding date, the type of ceremony, whether the reception is a separate day, your venue or city, and how you heard about us.

When you book — the same details, plus your venue name, the package and any add-ons you choose, and the dates your booking moves through.

When you sign the agreement — your typed name, the time you signed, your IP address and your browser's user agent, and which account was signed in. That combination is what makes an electronic signature hold up if a booking is ever disputed. It is the most identifying thing we keep, and it exists for your protection as much as ours.

When you pay — the amount, the date, and Stripe's reference for the payment. We never see your card number. Card details go directly to Stripe on their own payment page and never reach our servers.

When you sign in — your email address. If you sign in with Google we receive your name and email address from Google, and nothing else — no access to your Gmail, contacts, files or anything in your account.

Automatically — ordinary web server logs kept by our host. The marketing pages also run Microsoft Clarity, which records how people move through a page — scrolling, clicks, and a replay of the visit. We use it to find the parts of the page that confuse people. It does not run anywhere behind a login, so it never sees the contract, the questionnaire or the payment pages, and typed input is masked so it does not capture what you write into a form. We do not run advertising trackers and there is no marketing pixel.

Your films are personal information too

Footage of your wedding is data about you and the people at it. The signed agreement governs what we may do with it, and a promotional preference you choose yourself — share freely, highlight film only, or keep it entirely private. That choice is recorded on the contract and we hold ourselves to it. You can change your mind by emailing us, and we will stop future promotional use.

Who else handles it

These are the only companies that process your information on our behalf. Each holds only what it needs.

Your information is stored in the United States and is therefore subject to US law, including lawful access requests by US authorities. We are telling you this because you should know it, not because we expect it to matter.

We do not sell your information, and we do not share it with anyone for their own marketing.

How long we keep it

Signed agreements, invoices and payment records we keep for seven years after your wedding, which is what Canadian tax and limitation rules expect of a business.

Your films and the private link to them stay online for five years after delivery. The agreement asks you to keep your own copy, because after that we may remove them.

Everything else — inquiries that never became bookings, questionnaire answers, song choices — we delete on request, and inquiries that go nowhere are cleared out periodically.

What you can ask us to do

Under Canadian privacy law (PIPEDA) you can ask to see what we hold about you, have mistakes corrected, have things deleted, or withdraw a consent you gave. Email hello@saffron-media.com and we will answer within 30 days.

Two honest limits. We cannot delete a signed agreement or its payment records while we are legally required to keep them. And we cannot un-deliver films already given to you — though we will remove our copies and stop all promotional use.

If you are not satisfied with how we handle a request, you can complain to the Office of the Privacy Commissioner of Canada.

Keeping it safe

Everything travels over an encrypted connection. Access to your booking is controlled at the database level — one couple’s records cannot be read from another couple’s account — and only the email addresses attached to your booking can sign in to it. If you want an address added or removed, email us and we will do it.

Cookies

One to keep you signed in to your portal, and two set by Microsoft Clarity on the marketing pages so it can tell one visit from another. There are no advertising cookies, and nothing here is shared with advertisers.

Children

This service is for adults booking a wedding. Children appear in wedding footage, and that footage is covered by the agreement and by the promotional preference you set.

Changes

If we change this page we will update the date at the top, and if the change is significant we will email couples with an active booking rather than expecting anyone to re-read it.
